Key Responsibilities:
1. Project Coordination & Administration
Support daily coordination of project activities, deliverables, and cross-department collaboration.
Prepare and maintain project documentation—agendas, meeting notes, reports, presentations—and ensure follow-ups until loops are closed and activities are completed.
Schedule and manage project meetings, logistics, and related communication (emails, letters, contracts), while maintaining accurate and organized project files.
Track project progress, risks, and issues under PMO guidance, ensuring adherence to defined TAT for PMO activities.
2. Reporting & Quality Support
Consolidate weekly status reports, dashboards, and risk registers from project teams.
Support quality checks on documentation to ensure accuracy, consistency, and compliance with PMO standards.
Assist in internal quality audits, documentation reviews, and track open items until closure.
Help prepare executive summaries and management-level reporting.
3. Tools & Process Support
Learn and support the usage of internal project management and reporting tools; ensure compliance with PMO processes, templates, and frameworks.
Coordinate with internal teams to collect required data for reporting and analysis.
4. Stakeholder Coordination
Coordinate with multiple internal stakeholders (Test Managers, Leads, Hiring, Finance, HR) to collect data and ensure timely communication.
Maintain clear, professional, and consistent stakeholder communication.
5. Quality & Compliance Support
Support review of project reports and documentation to ensure alignment with PMO standards.
Assist in internal audits and follow through until open items are resolved and officially closed.
Required Skills & Qualifications:
Bachelor’s degree (any discipline preferred; business or IT background is a plus).
0–1 year of experience in project coordination or administrative roles, preferably in IT or the related industry.
Proficient in Google Workspace (Sheets, Docs, Slides). Exposure to visualization tools such as Looker Studio, Power BI, or other BI/visual reporting tools is preferred.
Excellent verbal and written communication skills in English.
Strong problem-solving and time management abilities.
Highly organized, detail-oriented, and capable of multitasking.
Self-motivated, proactive, and able to work with minimal supervision.
Positive attitude and ability to work well under pressure in a fast-paced environment.
